Task / Work Order Management
Learn how to manage work orders in Titan Maintenance (Urgent) including changing a task status, adding a quote, and approving a quote.

The Task Management features in the Titan Maintenance (Urgent) Platform provide tools to monitor, update, and manage tasks/work orders as they move through their lifecycle. This guide outlines the key functions available for managing task status, related actions, and handling quotes.
Tip: You may see “Task," “Work Order,” “Job,” or “Ticket” in your Titan Maintenance tenant. These are customized terms for the same concept - the scheduled or reactive maintenance that needs to be done and is tracked from end-to-end in Titan Maintenance.
Browsing Task Information
The information you see in the task or work order is dependent on your user permissions and the tenant's custom settings. As a minimum, you should see:
- The Task ID and current Status
- Relevant Alerts (SLA status, safety hazards, etc.)
- Links to Site and Supplier/Contractor details
- Link to Asset details
- Available Shortcuts (blue buttons)
- Available Actions (green button)

The tabs within the task detail view contain more comprehensive information including history, attachments, and financials. Access to view or edit content within these tabs depends on your level of access to the system.

Changing Task Status
Tasks are expected to progress through a defined workflow, usually handled by the assigned supplier or contractor. Users with the appropriate permissions will see a Change Status button to progress the task to the next stage.


Manage Quotes
Quotes are managed within the task to keep all work order history together.
Tip: Workflows can be configured to require itemized quotes. Please reach out to your Titan Maintenance representative for assistance enabling this feature.
Add a Quote
Click the add Add Quote button.
Enter the quote amount or itemized lines (if enabled) and upload relevant documents.

Once submitted, the task status will automatically update, and the quote will be stored in the Financial tab.
View, Approve, Decline, or Refer a Quote
In the task's Financial tab, click the eye icon to review quote details.

On the quote details screen, the options available will depend on your level of access.
You may be able to Decline or Approve the quote, or you may be able to select a user with approval access and refer the estimate to that user.

Other Task Actions
Using other shortcut buttons or the Actions button, users with appropriate permissions may:
- Chase the task: Send a reminder or follow-up.
- Add a note: Notes can be flagged as actionable to appear in the notifications bubble.
- Make edits to the task's details, matrix, or workflow
- Create a related task
- Create a child task
- Clone the task
- Resend notifications related to the task
