Overview

The Task Management Module in the Titan Maintenance platform enables contractors to efficiently handle both reactive and scheduled tasks. This guide outlines how maintenance providers can access, track, and progress tasks or work orders assigned to them.

This guide covers:

Task Summary Screen

Note: This resource refers to Tasks, but some clients use Work Orders, Tickets, or another custom term in its place. Even if the terminology differs, rest assured the process remains the same.

 

 

Task Types

Tasks within the system fall into two main categories:

  • Reactive Tasks: Dispatched to a contractor when a breakdown occurs at a site.
  • Scheduled Tasks: Generated automatically based on a set maintenance cycle.
 

Accessing Tasks

All assigned tasks are displayed in the Task Summary. Each task includes:

  • A unique reference number
  • Detailed task information (site, request type, priority, etc.)
  • Status indicators to track progress

To open a task, simply click on its Task Reference Number in the far lefthand side, or the arrow task details icon on the far righthand side of the Task Summary list.

 

Task Details 

Once a task is opened, users can:

  1. Review Task Details: View job description, location, and site requirements.
  2. Update Task Status: Users can update the task to a new status based on their permissions and the current status.
  3. Attach Supporting Documents (if required): Upload photos, notes, or documents.

Use the tabs to navigate to different sections as needed: Details, Progress, Notes, Timeline, Documents, Financial, Related Tasks, and Child Tasks.

Blue shortcut buttons at the top right provide options to quickly to add a note, add a quote, or chase the task. 

The Actions button will open a dropdown menu containing the following options for those with access:

  • Change task
  • Print
  • Change Assets
  • Resend notification
  • Chase tasks 
  • Create related task
  • Subscribe
  • Create Child Task
  • Clone Task

Update Task Status

Tasks are expected to progress through a defined workflow. Users that are expected to do so will see a Change Status button to progress the task to the next stage.

Tip: You may be prompted to answer Supplier Task Compliance questions related to health and safety procedures before proceeding with certain status changes. 

 

Add a Quote

If an estimate needs to be provided, click the add Add Quote button.

Enter the quote amount or itemized lines (if required) and upload relevant documents.

Once submitted, the task status will automatically update to Estimated, and the quote will be stored in the Financial tab for review and approval.

The Task Management Module streamlines contractor workflows by organizing tasks, tracking progress, and ensuring smooth task completion. By utilizing the features outlined above, contractors can efficiently manage their assigned work.
