The Titan Maintenance platform supports multiple user types, each tailored to specific roles and responsibilities within the system. This article provides an overview of the three main user types and explains how permissions and access are managed through user groups and role packages.

User Types Overview

There are three main user types in the system:

  • Contractor Users: A user associated with an external provider of maintenance services. These users are linked to their respective company and may only view work orders dispatched to them. 
  • Management Users: Have elevated permissions allowing them to change most settings in the system.
  • Site Users: Typically responsible for initiating work orders and performing verifications.

Note: Depending on how your environment is configured, you may see Contractors labeled in the system as Suppliers or Vendors.

Variations on these user types (ex: Management Admins, Reporting Site Users, Quote-Enabled Contractors, etc.) can be configured and organized with User Groups and Role Packages.

User Groups and Role Packages

  • User Groups: Define how users interact with system components, including task updates, workflow entry/exit points, notifications, and document security.
  • Role Packages: Control access to menu items, visibility of system components, and the ability to perform specific actions.

Tip: User Group and Role Package configuration is typically handled during implementations and restricted to Titan-level admins. If role configuration changes are needed in your tenant, please reach out to Titan Support.

 

While many aspects of User Group/Role Packages can be customized to your needs, the following permissions are not customizable at this time.

Role-Based Restrictions

While many aspects of User Group/Role Packages can be customized to your needs, some permissions and processes are not customizable at this time. 

Site Users

  • When creating a task:
    • Cannot manually select a supplier/contractor
    • Cannot manually select an SLA 
  • Cannot dispatch a Task if the system is set up for Management approval of Tasks
  • Cannot subscribe to tasks
  • Cannot approve invoices
  • Cannot answer Asset Downtime questions
  • The only user type that may update a task verification
  • Will appear on a summarized list of users associated to a site on the site page 

Management Users

  • Can manually dispatch Tasks if the auto-dispatch of Site raised Tasks is disabled
  • The only user type that may adjust the supplier and SLA at the point of task creation
  • The only user type that may approve invoices 
  • The only user type that may be added to delegation of authority
  • The only user type that may be a Document - Action Owner
  • The only user type that may edit the top level of Document Containers
  • The “Do not Auto-Dispatch” setting is ignored 
  • Can select multiple sites in Place Call

Supplier / Contractor Users

  • The only user type that may satisfy a respond, SLA. 
  • The only user type that may update supplier task compliance questions 
  • Cannot access the event reporting module.
  • Can only view tasks that have been dispatched to them (or to child suppliers they have access to)
