In Titan Maintenance, Assignments are complex, rules-based workflows that can be configured to automatically assign values to tasks, such as suppliers, service level agreements (SLAs), GL codes, chargeability, sites, dates, and more. 

Tip: By default, most tenants use the Advanced Assignments module rather than the older, Legacy Assignments module. If you're unsure which you are currently using, please reach out to Titan Maintenance Support. 

Advanced Assignments vs. Legacy Assignments

Key Enhancements

Unlike the legacy Assignments Module, which relied solely on site and matrix combinations, the new module allows for a broader range of assignment criteria, including:

  • Site
  • Site Channel
  • Site Geography
  • Repair Matrix
  • Dates
  • Defect Source
  • Assets and Asset Models
  • Workflows
  • Custom Fields

Additionally, the assignment values have been expanded to include:

  • Service Level
  • Supplier
  • GL Code
  • Chargeability
  • Workflow
  • Auto Dispatch
  • Default Cost
 
 
 

The new module features a streamlined rule creation wizard with four simple steps to help users define assignments quickly and efficiently.

Create an Assignment

Navigate to the Manage section in the system menu and select Advanced Assignments.

Click Operations and select Create. 

This opens the step-by-step Create Assignment wizard prompting the following four steps.

Step 1: Begin

Give the Assignment a Name and click Next.

Step 2: Criteria

Criteria configured in this step determine the conditions that trigger the Assignment. 

Use the tabs to create criteria by Site, Reactive Matrix, Dates, Defect Source, Assets, and/or Custom Fields. 

Click Add to move criteria into the Selected Criteria section.

Click Next to move forward.

Step 3: Assignments

The fields selected in this step will be applied to the Task/Work Order when the Assignment is triggered.  

Use the tabs to make selections by Service Level, Contractor, GL Code, Chargeability, Workflow, and Other (Default Cost, Auto Dispatch, Respect Asset Warranty Contractor).

Click Add to move assignments into the Selected Assignments section. 

Click Next to move forward.

Step 4: Review

Review the Selected Criteria and Selected Assignments to ensure your selections meet operational needs.

You may click Previous to return to the previous step or use the headings at the top of the page to return to a specific step. 

Click Finish to save and confirm. 

Manage Assignments

Once assignments have been created, they can be monitored and adjusted from the Advanced Assignments Summary page. 

Update a Single Assignment

Click the lightning bolt Actions icon for quick options:

  • Archive 
  • Duplicate 
  • Edit 
  • Toggle the Active/Inactive setting
  • View details

Update Assignments in Bulk

Tip: We highly recommend using this option if you have added a new site and need to apply multiple assignments to that site!

 

On the Advanced Assignments Summary page, click the Operations button and select Bulk Assignment Updates. 

Step 1: Locate Assignments by Criteria

On the Bulk Assignment Updates page, use the tabs to set criteria by Site, Reactive Matrix, Dates, Defect Source, Assets, and/or Custom Fields. 

Click Add to move criteria into the Selected Criteria section.

Click Search to locate Assignments matching the Selected Criteria. 

Step 2: Select Results

Scroll below the criteria selection to see the search results.

Use the arrows or “Select/Deselect All” options to move results from “Available” to “Selected.” 

Step 3: Inject Items

Scroll down to see the “Items to Inject” section. 

As above, use the tabs to locate criteria and click Add to select. 

Tip: Unless you see and select the “Overwrite Existing Assignments” toggle, saving the selected criteria will add new criteria but will not replace existing criteria.

 

Click Save to apply the selected criteria to all of the selected Assignments, then click Save again to confirm.

Additional Options

The Operations button on the Advanced Assignments Summary page includes the following functions in addition to those addressed above:

  • Manual Check: Retrieve a list of existing assignments by specific criteria.
  • Export: Download all or a filtered selection of assignments.
  • Mapping: Use filters to enable/disable mapping by Site, Site Channel, Repair Matrix, Site Location Tags, and more.
