Overview

Scheduled Tasks in Titan Maintenance are tasks that are pre-planned to occur at regular or predefined intervals. When a scheduled program is in place, the system will automatically generate these tasks. It is the supplier’s responsibility to update the status of each task upon completion or attendance.

These tasks can be viewed in the  Task Summary Page, where they will be clearly labeled as Scheduled. Each task includes all relevant details required for tracking and managing the scheduled service.

How to Identify Scheduled Tasks in the Task Summary

To quickly locate and manage Scheduled Tasks, click the Change Columns & Additional Filters icon at the top right of the grid, then click the filter icon next to Type in the dropdown menu. 

In the Incident Type search field, search for and select Scheduled Tasks. 

Then, click Add & Apply filter.

Tip: Click the Save icon to save this filter configuration for next time!

 

Additional columns that may help identify scheduled tasks include:

  • Template Name: This filter indicates the type or nature of the scheduled task. For example, it may reference tasks like 'Monthly HVAC Maintenance' or 'Quarterly Fire Alarm Test.'
  • Scheduled Commence Date: This refers to the date the contractor is expected to attend and perform the task.
 
 

Scheduled Task Management

Updating Task Status

As work progresses, users are expected to update the task status accordingly:

  1. Arrived – when the technician arrives on site
  2. Complete – once all work has been carried out

💡 Tip: Maintenance instructions are always available within the task under the Instructions tab (located on the right-hand side of the task detail page).

 

Performing an Inspection

Once a task is set to Arrived, users can navigate to the Inspection tab to complete the process.

Here's how it works:

  1. Change the task status to Arrived
  2. Go to the Inspection tab
  3. Select Pass or Fail for each asset or instruction
  4. If any item fails:
    1. Enter a reason in the Notes field
    2. Select Create Task to generate a follow-up task
  5. Click Submit Inspection

All components must receive a Pass rating for the inspection to be deemed successful. If even one instruction or asset fails, the entire inspection is marked as Failed.

Related Tasks

If a failed inspection occurs, a related task is automatically generated and linked to the original scheduled task. This ensures seamless follow-up and traceability throughout the maintenance process.
