Inventory Variance Reporting
Review Inventory Variance readings and results at the Facility and Client level.

Depending on the source(s) and profiles configured in Inventory Variance Setup, tank chart readings and transaction-level sales data is used to inform Inventory Variance reports. This resource describes a variety of places where this information can be viewed and analyzed in Titan Cloud.
Facility Level Reporting
To access Inventory Variance reports for a single facility, first navigate to the facility. In the facility menu, click Inventory Variance and Inventory Variance Report.
Select a profile type, date range, and tanks to include in the report.
Click Go to run the report and display results on the page.
View Results
Results are organized by period. If multiple periods are included in the report date range, select one to view from the panel on the left.
Periods are color coded: Red = Fail, Yellow = Missing, Green = Pass.
Selecting a period will close the panel and open the Inventory Reconciliation Worksheet for that period. You can re-open the period menu panel at any time by pressing the left-facing arrow.
If multiple tanks are included, click each tank's name at the top of the report to view data for that tank. You may also click All Tanks to view data for all tanks.
The summary at the bottom of the report displays totals, variance details, and the determination of whether the tank is in tolerance based on the Inventory Variance Setup.
From this page, you may also perform the following actions if enabled for your User Role.
| Download the report | Click Get CSV or click the PDF icon. |
| Edit multiple fields at once | Click Edit All to make applicable fields in the grid editable. Then, click the Save button at the top of the page to save changes. |
| Edit a fields for a single tank | Click the pencil edit icon to make applicable fields in the row editable. Then, click the Save button at the top of the page to save changes. |

*Comments are for operational note-taking only, and do not impact compliance reporting. |
| Approve a period |
Underneath the report, add explanations, dates, and required actions as necessary and click the checkbox for “Approve this inventory variance period.” Click the Save button underneath to approve.
*Approving a failing period will update the status to “Approved Failing” to confirm the result has been reviewed and understood. |
| Recalculate variance based on profile settings | Click the Recalculate button and confirm how Approved Periods should be addressed in the modal that follows. |
| Regenerate missing reports for E-Files | Click the Regenerate Inventory Variance Reports button and confirm parameters in the modal that follows. |
Client Level Reporting
To access Inventory Variance data across multiple sites, click the nine dots to open the global menu. Under Fuel Management, click Inventory Variance.
Filter Results
Use the search panel to filter results.
Filter selections can be saved as Views by clicking Save As. Name the view to add it to the dropdown list.
Click Go to display results in a grid.
Additional filtering, sorting, and exporting options are available in the grid once results are populated.
You may also choose to click Regenerate Inventory Variance Reports button to re-create any reports missing from E-files that match the selected parameters.
Manage Multiple Reports
To approve and/or add comments for all reports in the displayed results, click the Approve/Comment All button. Click Save to apply comments/approval status to all reports that matched the initial search parameters.
Tip: Approving a report indicates that it has been reviewed and understood, and does not switch failing reports to a success. Reports with a Failing status will update to “Approved Failing” when approved.
Manage Single Reports
To review details for a report, click the magnifying glass view icon in the Details column.
From the modal that opens, you can choose to click the “Approve now without comment” or “Add comment or approve” buttons.
You may also view and manage Comment History by clicking the edit icon in the Comment History column. By default, this column is at the far right of the grid.
Tip: Comments are for operational tracking only, and do not impact compliance reporting.
If any reports need to be edited or recalculated, click the date link in the Period Start column to open the facility-level version of that period's report.
Compliance Dashboard
The Inventory Variance section in the Compliance Dashboard contains several items to provide a bird's eye view of any issues requiring attention. Clicking on an issue in the Inventory Variance section will open an interactive grid listing items meeting the issue description.

Titan Cloud offers a large selection of pre-designed reports that may be used to track and analyze the metrics important to your organization. This resource is intended to provide an overview of the available standard reports in the Inventory Variance Reports section of the Reports page.
Tip: User access to specific reports can be managed on the User Role Setup page.
