Location Setup for Rental Workflow
Learn how to configure locations and contracts for a RentalMan-integrated workflow in Titan Logistics (TFX).

Purpose
This training guide outlines the step-by-step process for setting up job site locations and sell contracts in Titan Logistics (TFX) for a workflow integrated with RentalMan asset management software.
Note: The setup instructions in this article require a "Buyer + Supplier" account. For a traditional supplier setup, please see the Customer & Location Management article.
Key Concepts
- Location: Job site, branch, or project for a rental company
- Tank: A stationary fuel storage tank (underground or aboveground) on site at a Location that will receive fuel deliveries.
- Asset: A non-stationary piece of equipment on site at a Location (typically construction or marine vehicles) that will receive fuel deliveries.
Locations
In this context, a Location may be a job site, branch, or project.
To manage Locations, log in to the Buyer-side of the Titan Logistics platform.
Ensure you're viewing from the Buyer role (check the label at the top of the page).
Open the main menu and select Locations.

Create a New Location
At the top of the Locations page, click Create New.

This page contains the form to create a single Location manually. You may also choose to click Upload Locations in Bulk at the top right corner if applicable.
Bulk Upload Instructions & Tips
Any data imported to Titan Logistics in bulk must match a specific format. To ensure this, we've provided Templates.

Click Download Template to save a pre-formatted CSV file to your computer.
Use Microsoft Excel or other spreadsheet software to fill in the data using only the columns provided. Column headers with an asterisk (*) indicate required fields. These must be completed for data to upload successfully!
When you're finished, save the file to your computer and return to Titan Logistics to click Select File to Upload. Select the saved file, then click Upload.
Tip: Depending on the size of the file, it may take some time for the data to upload. To check the status, navigate to Data Push Monitor in the main menu and select the Bulk Upload Status tab.
Use the filters to locate your upload and click the eye icon to view success and failure details.

Location Details
Complete all required fields in the Location Details form (marked with red asterisks):
- Name
- Start Date
- Address
Rental-Specific Details
For a RentalMan integrated workflow, you must also check the box for Rental Job Site on the right side of the screen.

Selecting the Rental Job Site checkbox enables the Branch ID & Accounting ID fields.
- Branch ID: Unique ID from RentalMan system for a physical location
- Accounting ID: General Contractor’s ID number in RentalMan
Branch ID and Accounting ID values may be alphanumeric and multiple may be added per location. They must match the corresponding value in RentalMan.
Based on what is provided here, the API integration will automatically set up the subcontractors and assets for the Location based on what is associated with those IDs in RentalMan.
Additional Details
Complete the following items before submitting the form.
- Order Type: For rental, the selection should aways be Less than Truckload.
- Site Availability (optional): Select delivery days and time slots appropriate for this Location.
- Site Instructions (optional): Open text field for site-specific notes (ask for Babs, etc.)
To save the Location, scroll to the bottom of the page and click Submit.
Edit Existing Locations
To update an existing Location, locate the location in the grid and click the Location Name.
The first tab, Location Details, contains the information configured when the Location was created. You may edit the details on screen, then scroll to the bottom and click Submit to save.
Note: Please make all edits to Subcontractors, Assets, and Tanks in RentalMan.
The integration between Titan and RentalMan is one-way, and updates every hour. Changes made in RentalMan will sync to Titan Logistics, but changes made in Titan Logistics will not sync to RentalMan.
The Subcontractor list and Assets/Tanks tab are populated based on the Accounting ID(s) and Branch ID(s) provided. If the data is inaccurate or incomplete, please check the IDs in the Location Details.
Contracts
Once the Location has been created, you will need to set up a sell side contract. To do this, you must toggle to the Supplier role using the button at the top left of the page.

Once you've landed on the Supplier homepage, click the “+ Create” shortcut button, then select Contract and Sell.

Complete the required fields in the Create Contract form.
Contract Details
Type the first three letters of the General Contractor name in the Customer Name field and select them from the dropdown menu.
Tip: The dropdown menu populates with options received from RentalMan as well as manually added values. We strongly recommend verifying the format and spelling on the My Customers page to ensure you select the correct option!
To locate the My Customers page, click on the Customer Set Up tile on the Supplier homepage, or select My Customers in the main menu.

For Total Quantity, select Not Specified, as this workflow does not track allocations.
Recommended Start Time: 12:01 am.
Ship-to-Locations
The Ship-to-Location(s) entered here should match the new Location(s) you created. If multiple products should be sold to this Location, click “Add Ship-to Location” to add another.
Tip: If you don't know the Lift Point, type the location's city into the Lift Point search field. Terminals with the same address city will be retrieved.
Click Create to save.
