Regulatory Inspections have moved!!!

As of October 1, 2024 Regulatory Inspections have been relocated to a new tab on the Important Dates page and include new features and customization options.

The Regulatory Inspections tab in Important Dates provides a means of organizing details, documents, and activities associated with a State Regulatory Agency's inspection.  

Access

Regulatory Inspections can be managed at the Client or Facility level within the Important Dates module.

Open Client Level Important Dates

To view and manage Important Dates across multiple facilities, click the nine dots in the top left corner to open the global menu. Under Compliance, select Important Dates. 

 
 

Open Facility Level Important Dates

To view and manage Important Dates for a single facility, first navigate to that facility in Titan Cloud Edge. In the left-side facility menu, click Activities and Important Dates. 

 
 

Once you have opened the the Important Dates page, select the Regulatory Inspections tab.

Edit an Existing Inspection

Depending on your goals and preferences, inspections may be edited in multiple ways. 

Edit a single inspection

If only one inspection requires updates, locate that inspection in the grid and click the pencil edit icon. 

Edit multiple inspections in the grid

To unlock the editable fields within the grid, click Edit and select In Grid Edit. 

When enabled, the In Grid Edit feature turns grid cells into dropdown lists, allowing you to easily change values without opening each record's editor individually.

Click Save All to save changes and close the In Grid Editor.

Tip: You may also close the In Grid editor without saving edits by clicking the Edit button, and selecting Cancel Grid Edit.

 

Edit multiple selected inspections

If multiple inspections require the same updates, use the Select column at the far left of the grid to checkmark the desired inspections.

Then, click Edit and select Edit Selected Inspections. 

In the Edit Selected window, you may select a field to update in the drop down menu and click Add. You may also exclude fields from being updated by clicking the minus button.

All updates made here will apply to ALL selected inspections when you click Save.

Add an Inspection

Click Add New to create a new inspection. 

When you first open the Regulatory Inspection editor, only the Basic Information section will be available. To access additional sections, the Regulatory Inspection must be created. At minimum, this requires a Facility, Inspection Date Time, and Status. 

Enter values into these fields and click Add New to create the inspection and unlock additional sections in the editor.

Inspection Details

The Regulatory Inspection editor is organized into eight sections: Basic Information, Pre-Inspection, Inspection Outcome, Red Tag, Documents, Activities, Notices, and Point of Non Compliance.

Tip: The sections and fields in the Regulatory Inspections editor can be customized to meet your organization's needs. 

  • To hide sections or fields, please reach out to your Customer Success Manager for assistance using our new Dynamic Forms customization feature.
  • Required fields are managed on the Important Dates Configuration page.

Keep in Mind: Any new settings adjusted in Dynamic Forms or Important Dates Configuration will override any legacy Regulatory Inspection customizations in Account Settings.

 

Remember, if you are creating a new Regulatory Inspection, only the Basic Information section will be available until you provide a Facility, Inspection Date Time and Status, and click Add New.

Tracking Information

At the top of each section, the Tracking Information displays system-generated details about this inspection. Only the “Assigned To” field may be edited. 

Tip: The Assigned To user is the primary contact who will receive email notifications during the inspection progression. 

A valid email address must be associated with this user's account in order to receive notifications!

Additionally, email notifications can be enabled/disabled at User Setup. 

 

To minimize this information, click Show Less. 

Most sections also include buttons to quickly add a Document or an Activity without navigating to those sections.

Basic Information

The Basic Information section contains the three required fields for a Regulatory Inspection, as well as additional details about the inspection frequency, dates, violations, and watchers.

Tip: Users selected as Watchers are cc’d on email notifications during the inspection progression. 

A valid email address must be associated with each user account in order to receive notifications!

Additionally, email notifications can be enabled/disabled at User Setup. 

 

Red Tag Section

If a Red Tag is indicated in this section, a red icon will appear in the section menu as a reminder.

Documents

The Documents section in the menu will display the number of documents associated with the inspection. 

All associated documents will be listed in the Documents grid. You may edit the information about an existing document by clicking the pencil edit icon or add a new document by clicking Add Document. 

When adding a new document, you will be prompted to choose between selecting an existing E-File or uploading a new file.

Use Existing: Select an E-File from the Electronic File Cabinet (E-Files) and click Add New to save.

Upload New File(s): Click Upload to open the file upload tool. Select or drag and drop files from your device into the tool. Files will appear in the staging grid where you may provide the information needed to save the files to the Electronic File Cabinet (E-Files). When the information is provided, select the desired files in the grid and click Add New at the bottom right. Then, click Add New one more time in the original “Add New” window to save. 

All files added can be viewed or downloaded in this section or in the Electronic File Cabinet.

Activities 

The Activities section in the menu will display the number of activities associated with the inspection. 

All activities linked with the inspection will be listed in the Activities grid. You may update an existing activity by clicking the pencil edit icon or link a new activity to the inspection by clicking Add Activity. 

When adding an Activity, you will be prompted to choose between selecting an existing Activity or creating a new one.

Use Existing: Select an existing Activity from a list of open activities from the Activity Log. Click Add New to save and list the activity in the section. 

Add a New Activity: Click Add to open the Activity Log page in a new browser tab. You will see a reminder at the top of the page that the activity you're creating is associated with a regulatory inspection. Create the Activity and navigate back to the Regulatory Inspection. Click Update or refresh the page to see the activity listed in the section. 

Notices

The Notices section in the menu will display the number of violation notices, corrective actions, and resolution plans associated with the inspection. 

All existing notices will be listed in the grid. Existing notices may be edited one at a time using the pencil edit icon, or in bulk by clicking Edit and selecting In Grid Edit or Edit Selected. 

To add a new notice, click Add Notice.

When adding a new notice, you will be prompted to indicate how many notices you'd like to create. Once the notices are created, they may be edited to include the correct information. 

Tip: When creating notices, the maximum number that may be created at once is 20. There is no limit to how many notices may be updated at once using the Edit in Grid or Edit Selected tools.

 

Point of Non Compliance

The Point of Non Compliance section in the menu will display the number of PONCs associated with the inspection. 

All PONCs linked with the inspection will be listed in the grid. You may update an existing PONC by clicking the pencil edit icon or add a new one by clicking Add PONC. 

Tip: When adding a new PONC, the Notice # must exactly match an existing Notice in the section above.
