Create a Compliance Binder in E-Files

Setup E-Files Grid E-Files for a Specific Facility E-Files for Multiple Facilities Dynamic File Date Filters Description Keyword Filters Additional Filters Save View

Users with access to the Electronic File Cabinet (E-Files) page can now use Grid Views to set up and save Compliance Binders for quick access to regulatory documentation.

Setup E-Files Grid

First, navigate to the Facility-level or Global E-Files page.

E-Files for a Specific Facility

To open E-files for a single facility, first navigate to the facility. In the left-side facility menu, click Electronic Files and select E-Files. 

 
 

E-Files for Multiple Facilities

To open E-files across multiple facilities at the client level, click the nine dots at the top left of the screen to open the global menu. Under Home, select Global E-Files. 

 
 

Next, make sure the “All” File Application or Folder is selected in the left-side menu. 

Click the gear icon to verify the columns you need for filtering are visible in the grid. 

We recommend using File Date and Description. Type, State, County, File Application, Tags, and Regulator File columns may also be helpful.

Dynamic File Date Filters

File Date filters are unique to the E-Files page and allow you to set a dynamic date range. If “Previous Year” is set, for example, every time you access the Compliance Binder the files will be dated within the past 365 days.

Click the three dots in the File Date column header.

Use the dropdown menu to select a dynamic date range and click Filter.

Description Keyword Filters

Keyword filters are unique to the Description column in E-Files. This feature allows you to search for or exclude specific terms in the file's description.

Click the three dots in the Description column header.

Keywords:

  • Select one or more keywords from a preset list
  • Type one or more custom keywords and click Add

Filter Logic:

  • “AND” will search for files with ALL of the keywords in the Description
  • “OR” will search for files with ANY of the keywords in the Description 

Exclude Keywords:

  • Click the “Exclude Keywords” checkbox to only return results that DO NOT include the designated keywords.

Click Filter. 

Additional Filters

Filter additional columns as needed to fully customize the results on screen. 

We strongly recommend filtering by File Application when creating a Compliance Binder!

Save View

Now that the grid shows the results you need in your Compliance Binder, we'll save the configuration as a View.

Click the pencil Save View As icon to create a new view using the grid's current configuration. 

The Name you provide will be added to the View drop-down menu.

If you have access to create Company Views, you may select My View or Company View as the Category.

Tip: Company Views are added to the View dropdown for every user in your company and My Views are private to just you!

 

Click Save.

Now, any time you return to the E-Files page, the Compliance Binder View you've created will be selectable in the View dropdown menu.
